Registration and Confirmation Procedures for all ESE language programmes (except the ESE-Twin University Foundation Programme - UFP)
Registration
The ESE Enrolment Form is to be submitted by email to your ESE contact in the Reservations department or at info@ese-edu.com or by fax to +356 2137 3725, or if booking on line through the secure booking portal at http://www.ese-edu.com/booking/book-online/. If you have booked a Course Only, your booking is confirmed. You must make payment for the course in order to confirm acceptance. Please see Confirmation and Payment details below.
If you have booked a Course and Accommodation package, then we will reply to you with confirmation depending on availability of the choice of accommodation either within 24 hours in normal working hours or, within 72 hours on weekends and public holidays.
You should disclose the flight details in full, including arrival and departure times, where airport transfers are selected or as included in the course and accommodation package. If you do not disclose your flight details, including the arrival and departure times, ESE will not be held responsible for airport transfers and any consequent delays, loss of flights or any other expenses incurred including payment of alternative transport and/or travel arrangements, or course and/or accommodation commitments.
All flight tickets purchased through ESE must be paid in full immediately upon confirmation and acceptance of flights. Please see payment details below.
A Registration Fee of 35 euro is charged per booking (including course only bookings). Registration Fees are non-refundable.
If an entry visa is required then an Entry Visa Administration Fee of 25 euro (including course only bookings) is applicable. Entry Visa Administration Fees are non-refundable.
Confirmation
Once your completed Enrolment Form has been accepted by ESE and a Confirmation of Acceptance of Enrolment (including the selection of course and accommodation) has been sent to you, a non-refundable deposit of 100 euro (which includes the Registration Fee of 35 euro) must be paid. If an Entry Visa is required and/or a flight ticket, then payment should also include the additional 25 euro for Entry Visa Administration Fee and any fees for flights.
Any unpaid balance of the Total Invoice Price must be paid at least two (2) weeks before your arrival date. If the Enrolment Form date is less than two (2) weeks prior to your course start date, the full amount of the Total Invoice Price must be paid.
Flights booked through ESE irrespective of registration date and course start date must be paid in full.
Cancellation Policy for all ESE language programmes (except the ESE-Twin University Foundation Programme - UFP)
Registration Fees and Entry Visa Administration Fees (if applicable) are non-refundable.
Cancellations of bookings must be received in writing and are subject to a Cancellation Fee as follows:
More than 14 days prior to arrival date: 65 euro plus Registration Fee plus Entry Visa Administration Fee (where applicable).
Between 1- 14 days prior to arrival date: 1 week tuition and accommodation fees plus Registration Fee plus Entry Visa Administration Fee (where applicable).
For no-shows or cancellation once your course has commenced: no refund of fees will be given and fees are not transferable.
If an Entry Visa is required and is not granted you must advise ESE immediately and provide official evidence of Visa refusal. ESE will refund your course and accommodation fees only.
For closed group bookings cancellation fees are as follows:
More than 30 days prior to arrival date: 50% of fees
Less than 30 days prior to arrival or no-shows: 100% of fees Flight tickets are non-refundable

Registration
Students interested in the ESE-Twin University Foundation Programme are required to fill in the appropriate University Foundation Programme Application Form available on the website at www.ese-edu.com/ufp.
You must email or fax the completed application form and the required documents (copy of passport, evidence of English language level reached & High School certificate) to ESE at admissions@ese-edu.com or at (+356) 21 373 725.
An Application and Registration of 150 euro (non-refundable) must be paid to ESE for your application to be processed. If all the required documents are in order and you meet the required entry criteria and payment of the 150 euro has been received by ESE, ESE will forward you a Provisional Letter of Acceptance and an invoice.
Confirmation for ESE-Twin University Foundation Programme (UFP) students only
If you decide to accept ESE’s offer of a place on the University Foundation Programme a deposit of 25% of the invoice must be paid to ESE. Upon receipt of the payment by ESE, a formal Confirmation of Acceptance of Studies (CAS) will be issued to you.
The unpaid balance of the Total Invoice Price must be paid at least 28 days prior to your course start date.
In the event that the date of your Enrolment Form is less than 28 days prior to the course start date then the Total Invoice Price must be paid to ESE in order for the formal Confirmation of Acceptance of Studies (CAS) to be issued.
If full-payment is not received by the stipulated time of 28 days before the course start date, ESE assumes that you are no longer interested in enrolling on the course and the deposit will be forfeited. (See cancellation policy for the University Foundation Programme).
ESE reserves the right to refuse any applicant who does not meet the programme entry requirements.
Cancellation Fees & Policy for ESE-Twin University Foundation Programme (UFP) only
Cancellations due to Visa problems
Cancellations for the UFP must be made in writing to admissions@ese-edu.com. If the Visas to both Malta and the UK are refused, ESE will refund the full fees paid less 350 euro Cancellation Fee. If the visa to one UFP Study Centre is refused when the student has chosen both centres, students will have the option of studying at the visa approved UFP Study Centre only at a revised price or the right to a refund for the full fees paid less the €350 Cancellation Fee. Refunds will only be made when official evidence of Visa refusal is provided.
Shortening a Programme
If you are forced to shorten the length of the programme due to a Visa extension refusal, ESE will calculate the value of the part of the course which you have already followed and will refund the balance less the 350 euro Cancellation Fee when official evidence of Visa refusal is provided.
In the case of Visa nationals, if you leave your programme early you will be reported to the local Immigration authorities and in these cases no refund of any fees under any circumstances will be made.
Non-arrival, late arrivals and absences
If you fail to arrive or are absent during their programme, no refunds of fees will be granted. Periods of absence may not be made up with a free extension at the end of the course. In the case of Visa nationals, non-arrivals, late arrivals and periods of absence will be reported to Immigration authorities.
For all other reasons, cancellation must be made in writing and is subject to cancellation fees as follows:If notice of cancellation is received more than 28 days before the start of the programme, the deposit will be forfeited.If notice of cancellation is received 28 days or less before the start of the programme, full fees will be forfeited.
In the event that the Visa application is still awaiting approval, the 28 day clause will be reduced to 14 days and the time by which payment is to be effected will be waived. Upon confirmation of Visa approval, full payment and cancellation fees apply.
ALL STUDENTS
Refunds
In the event that a refund has to be processed by payment and not credit then any refund shall be paid to the person/Agent who paid for the booking and in the same manner as the booking was paid for. Therefore, if the method of payment is made via a credit card then the refund will be made via the same credit card to the same credit card holder, and if the method of payment is made by bank transfer then the refund will be made to the same bank account from which the payment was made.
Accommodation
ESE offers adult students a range of accommodation options as follows: Host Family, ESE Residences, Guesthouse, Apartments and Hotels. Host Families and Apartments are available on a sharing room or single room basis on which a Single Room Supplement fee applies. Hotel Regulations apply to ESE Residences, Guesthouse and Hotels, i.e. when a person selects a double room but is alone in the double room the Single Room Supplement fee applies. You may only select Shared room Accommodation in ESE Residences, Guesthouse or Hotels if booking the room with a friend/relative/partner.
ESE reserves the right to charge for any additional VAT and other Government imposed taxes registered after your booking is confirmed.
Travel Insurance
ESE requires that students purchase travel, health and cancellation insurance which includes coverage for medical and repatriation costs in case of accidents or sickness. ESE recommends that students take out the Guard Me Insurance offered by ESE which covers all nationalities and study trips and is recognised by private hospitals in Malta. Payment of Fees
Payment of fees can be made by any of the following two methods: 1. By credit card:
Payment may be made online by credit card (Visa or Mastercard) through a Secure Payment Gateway and is subject to a fee of three and a half percent (3.5%) on the amount charged to the credit card. Details of the online link are issued by the Accounts Department of ESE. 2. By Bank Transfer.

When effecting payment by bank transfer make sure to quote your name in full as a reference and email or fax a copy of the bank payment form once payment has been effected. Please note that all bank charges for payment by Bank Transfer are to be paid by you and not ESE. ESE reserves the right not to accept you on the course if payment for your course has not been received by ESE in full prior to your course start date.Public Holidays
When public holidays fall on a weekday, school lessons will be made up as much as possible but not necessarily to the full. Reduction of Lessons
The duration of each lesson is 45 minutes. If only one or two students are participating at any one particular level, the number of lessons of that level will be reduced as follows:

Lessons of the University Foundation Programme which fall on a Public Holiday are not made up for.Complaints
Complaints must be made in writing to ESE during the duration of the course. ESE cannot be held liable for any compensation on any complaint received after your departure. Language Levels and Exam Preparation Courses
Exam Preparation courses are offered at different levels depending on your language level. ESE reserves the right to refuse admittance to any Examination Preparation course if they feel that your level, at entry to the Examination Preparation course, is below the required standard for you to study and prepare for the examination.Language Levels and the ESE-Twin University Foundation Programme (UFP)
For admission onto the ESE-Twin UFP you must have a minimum B1/Intermediate level of English. You are required to fill in the specific Enrolment form found on the ESE website at http://www.ese-edu.com/english-courses/adults-course/university-foundation-programme/ and send all the required documents as well as proof of your English language level. You will be asked to participate in an online interview before being accepted on the programme and then tested on arrival. If you are found not to be at the required B1/Intermediate level of English, you may be asked to extend your programme or take additional English support classes at an extra cost. ESE reserves the right to refuse any applicant who does not meet the programme entry requirements.
Junior Packages
For any unaccompanied minor aged between 8 and 12, an ESE representative is required to remain at the airport until check-in. A charge of 25 euro shall apply in such cases. With the exception of the College Camp and Young Learners Packages, all ESE Junior Programmes do not include 24 - hour supervision. Welfare Officers and Leisure Group Leaders are accessible to all students on a 24 hours/7- day week basis.The parents or legal guardians of teen students enrolled on an ESE Junior or Teen package agree and give their consent that ESE or its directors or staff cannot be held liable or responsible for any injury, loss or damage, or any other liability or claim for damages in respect of any student that attends a non-ESE organised activity or programme or, who do not comply with the ESE Terms & Conditions and other written policies including the ESE Rules & Regulations as printed in the ESE Welcome Guide. ESE will not be responsible for any failure to comply with any obligation and will not be liable for payment of compensation if the failure is occasioned by any cause beyond ESE’s reasonable control. ESE shall not be responsible for any costs incurred by or on behalf of any student caused by force majeure. Such cause may include but is not limited to losses, damages, cancellations or delays, strike action, civil strife or terrorist activity, war, natural or nuclear disaster and unusually adverse weather conditions. ESE Beach Club
All ESE Beach Clubs are seasonal. All packages (except Course Only and Accommodation Only) include free entrance to the Adult Beach Club or the Teen Beach Club. The choice of the Beach Club is determined by the type of package purchased. On weekends and on public holidays, the Adult Beach Club is only available against payment at a discounted entrance fee. Other restrictions apply. Liability
The Directors, management and staff of ESE are not liable for personal accident and/or the theft, loss or damage of personal property belonging to clients. Whilst ESE endeavors to provide assistance to its clients at all times, the Directors, management and staff of ESE are not liable for decisions taken by the local authorities. This would also include any procedures and decisions regarding entry visas or visa extensions. Moreover while ESE undertakes to provide reasonable care to all persons while they are within all premises operated by ESE and/or on any ESE organised activities, ESE disclaims any responsibility in respect of all persons. Notwithstanding the above, the maximum liability shall be bound by the net amount paid by the client. General Conditions
ESE reserves the right to be fully reimbursed for any medical or related costs it may incur on behalf of any student who requires urgent medical attention in Malta and to immediately repatriate, at the student’s expense, any student who suffers from a serious medical or psychological condition. ESE reserves the right to change lesson times at its discretion and use classrooms in alternative premises. Students may need to purchase additional course books as they move up to a higher course level.ESE reserves the right to alter any service, description and fee without notice provided that any substitute offered is at least of the same standard, contents and classification as the one offered originally. ESE reserves the right to expel/repatriate any person that in the opinion of ESE has behaved in an unacceptable manner including but not limited to possession or consumption of any illegal drugs and/or alcohol, malicious damage to property, any behaviour that endangers or impairs the health, safety or comfort of other persons using the same services, breaking of local law/s and/or not adhering to curfew times. Such expulsion/repatriations will be at the full expense of the client and no refunds will be considered and ESE reserves the right to charge an administration fee of 150 euro for any such expulsion/repatriation. Any damage to, or loss of, ESE or third party property must be paid by the student before departure. Students residing in ESE Residences/Junior Club/College Camp/Young Learners must place a refundable deposit on arrival: 50 euro for teenagers and 100 euro for adult students. This deposit is refundable on departure but may be retained in part or in full to cover any loss or damage caused by the student to furnishings, equipment and fittings in any of the above residences. Should the cost of repairs exceed the amount of the deposit, the student/s concerned will be required to pay the balance prior to leaving his/her/their place of accommodation. In enrolling with ESE, the applicant (or agent) consents to and authorises ESE to process any personal data in accordance with the Data Protection Act of Malta and to transfer/disclose such data to other companies within the ESE group of companies as deemed necessary for the successful provision of the services enrolled for and any purpose associated thereto. Jurisdiction
If for any reason any dispute arises between the student and/or Agent and ESE then resolution of such a dispute is subject to the laws of the Republic of Malta and the jurisdiction of the Maltese Courts.
